Incomplete Grade

What is an Incomplete and why would a student be assigned an "I"?

The grade "I" may be assigned by your instructor if your work in a course has been of passing quality but is incomplete for reasons beyond your control (e.g., you get sick the last two weeks of the term and you are unable to take the final). You would need to notify the instructor of your inability to complete the course and ask if you can be assigned an Incomplete. If the instructor agrees, the two of you would then need to determine in writing what you need to do to finish the course and what percentage of your grade will be based on the remaining work. A copy of this written statement is kept in the faculty member's department office. You must complete the work by the established deadlines outlined below.

The decision about what grade to award a student is solely the responsibility of the professor. If you are unable to complete a course, you should explain your situation to the professor as soon as possible (you may be asked to supply documentation of your problem). An I grade should not be used to avoid a failing grade.

What are the deadlines

The I grade must be either removed, extended, or frozen by these deadlines:

If I am not enrolled in classes at Cal, do I still need to meet these deadlines?

YES!! Even if you decide to take time off, are a student on another campus or are participating in the Education Abroad Program, you will still be held to the above deadlines. The Incomplete will lapse to an F (or NP if originally taken passed/not passed) if the deadlines have lapsed and you have not completed the work and the appropriate petition.

How do I remove an incomplete grade?

When you are ready to turn the work into your professor, fill out the form entitled, "Petition to Remove An Incomplete Grade" and pay a $5.00 fee at the Office of the Registrar at 128 Sproul. Then turn in the work and the petition to your professor who will sign and route the petition to the Office of the Registrar. This work must be turned in by the deadline, preferably at least 30 days prior to the deadline. Finish your work as soon as possible (preferably at least a month before the deadline). If the professor is unavailable, the Chairperson of the department can make arrangements for you to complete the course. The "I" will remain on your transcript for the semester in which you took the course but a line will be added to the transcript that states that the "I" was removed and the new grade will be indicated. The new grade will be calculated into the gpa at the end of the semester which follows the completion date of the Incomplete.

What if I am unable to finish the work by the deadline?

After the deadline has passed, a line will be added to your transcript that states that the Incomplete has lapsed, and an F will then be computed into your gpa. If you originally took the course on a P/NP basis, the "I" will then lapse to a NP. You are then able to repeat the course subject to the rules for repetition of courses.

What if I cannot or do not want to finish the Incomplete?

You do have the option of "freezing" Incompletes in two courses. This means that the "I" grade remains on your record and does not lapse to an F or NP. You must file the "Petition to Retain Incomplete Grade Permanently on Record" in the Office of Undergraduate Advising by the above deadlines. Once you decide to freeze an "I" grade, it cannot be changed and you may not repeat the course on the Berkeley Campus. Therefore, you need to make sure that you do not need the course for your major before deciding to freeze an "I".

What happens if I receive an Incomplete and then re-enroll the course within the deadline?

The intention of an Incomplete is to grant you additional time to finish remaining work in a course that you had been attending, not to repeat the entire course. If you do enroll in the course, without the Dean's permission, the "I" will lapse to an "F" and the rules for repetition of courses will then apply. Sometimes a professor will suggest that you audit a portion of the course that you missed in order to be prepared to take the final. Auditing, with permission of the instructor, is permitted.

Is there a maximum number of Incompletes that I can have on my record?

Yes. You may not register if you have 12 or more units of Incompletes (counting "frozen" I's) on your record that have not been replaced with grades. Permission of the Dean would be required in order to register.

I am on the degree list and intend to graduate this semester. I took an Incomplete last semester. Do I need to finish it in order to graduate?

That depends on whether you need it to satisfy requirements for your degree. If so, yes, you must finish the Incomplete and turn in the work and the petition by the last day of the semester in which you plan to graduate. If you do not need the course to graduate, it will not be replaced by an F or NP but will remain as an "I" on your transcript.
